Personal Assistant

A Boston-based Executive and her Senior Leadership team, are seeking a professional, well-presented and organized Personal Assistant to join their team. In this role, you will assist with personal errands and tasks and ensure that the day-to-day office operations and related events run smoothly and seamlessly. You will work on a one-on-one basis with both the Executive and her team as well as with internal and external clients.

The ideal candidate must be highly organized with a keen attention to detail and have excellent time management, verbal and written communication skills. The candidate must have the ability to multitask in a small, yet fast-paced environment.

Responsibilities and Duties:

  • Assist with personal errands and tasks
  • Complete projects and special assignments as directed
  • Act as the point of contact between the Executives and internal or external colleagues, clients, freelancers and vendors
  • Organize and schedule meetings and Zoom calls
  • Handle correspondence directed to Executives
  • Maintain calendar and schedule of Executives
  • Make travel arrangements and provide detailed travel itineraries
  • Take notes/minutes to share with group post meeting
  • Produce reports and presentations relating to Executive’s business interests
  • Manage/Track mailings
  • Produce marketing materials, promotional assets, collateral materials, event invitations, event recaps as needed
  • Work with vendors to create printed promotional assets
  • Create materials to deliver the company's and/or product's message to the media and the public
  • Attend events, meet with vendors at various locations to assist with set-up, run errands for supplies and decorations, and work with staff to ensure the completion of a successful event
  • Provide social media management; Respond to inquiries and emails and compose correspondence, memos, and reports, as directed
  • Maintain and grow the current database system, and look for ways to improve current systems and office operations

Qualifications and Skills:

  • Bachelor degree, preferred
  • 2-3 years of Personal Assistant experience
  • Proficient with Microsoft Office Suite and Outlook Calendar
  • Ability to work more than 40 hours with flexible schedule, as needed
  • Experience in a wide range of Marketing functions including communications, branding, digital and social media
  • Experience in logistics/travel and/or event planning a plus
  • Ability to handle many diverse projects simultaneously and meet tight deadlines
