Position Overview

The Accounts Payable & Payroll Specialist is responsible for supporting the Accounting Department by processing accounts payable transactions, providing payroll support, preparing certified payroll reports, and performing compliance activities. This position plays a key role in maintaining accurate financial records, ensuring timely vendor payments, and supporting payroll and labor compliance requirements for construction projects.

Responsibilities

Accounts Payable

  • Process vendor invoices and ensure proper coding, approvals, and documentation.
  • Match purchase orders, receiving documents, and vendor invoices.
  • Prepare weekly check runs and electronic payments.
  • Maintain vendor records and supporting documentation.
  • Reconcile vendor statements and resolve invoice discrepancies.
  • Assist with month-end closing activities, including accruals and account reconciliations.

Payroll Support

  • Serve as backup for weekly payroll processing.
  • Review employee timecards for completeness and accuracy.
  • Assist with payroll reporting, audits, and recordkeeping.
  • Support payroll-related inquiries and documentation requests.

Certified Payroll & Compliance

  • Prepare and submit certified payroll reports for prevailing wage projects.
  • Maintain compliance documentation for union and prevailing wage projects.
  • Assist with union benefit reporting and reconciliations.
  • Support payroll, labor, and compliance audits as requested.

Additional Responsibilities

  • Assist with month-end and year-end accounting processes.
  • Maintain organized electronic and physical accounting records.
  • Provide general accounting and administrative support to the Accounting Department.
  • Perform other duties as assigned.

Qualifications

  • Minimum of three (3) years of accounts payable experience.
  • Construction industry experience strongly preferred.
  • Experience with certified payroll and prevailing wage reporting preferred.
  • Knowledge of union payroll and benefit reporting is a plus.
  • Proficiency in Microsoft Excel and other Microsoft Office applications.
  • Experience with Viewpoint Vista or similar ERP/accounting software preferred.
  • Strong attention to detail and organizational skills.
  • Ability to manage confidential information with professionalism and discretion.
  • Strong communication skills and ability to work effectively in a team environment.

Physical Requirements

  • Ability to sit for extended periods while working at a computer.
  • Frequent use of hands and fingers for keyboarding and office equipment.
  • Ability to review and analyze financial and payroll documentation.
  • Occasional standing, walking, bending, and reaching within an office environment.

Work Environment

  • Office-based position located in Avon, MA.
  • Standard office environment with moderate noise levels.
  • Occasional additional hours may be required to meet payroll, month-end, or project deadlines.

Compensation

The expected salary range for this position is $60,000 to $75,000 annually, depending on experience and qualifications.
